Who we are
Digi Consulting Firm Ltd, trading as Quick File, is the data controller for personal data collected through quick-file.co. Company number [COMPANY NUMBER], registered office [REGISTERED OFFICE ADDRESS]. [ICO REGISTRATION NUMBER.] Contact: info@quick-file.co.
Your files
Files you convert are processed entirely in your web browser. They are not uploaded to our servers or anyone else’s, and we cannot access them.
What we collect and why
Payment details. When you pay, Stripe collects your card details, email address and, where needed, billing details. We receive a record of the payment from Stripe, which may include your email address, the amount, date and the card’s brand and last four digits. We never receive your full card number. We use this to take payment and provide receipts (lawful basis: performance of a contract), keep accounting records (legal obligation), and handle questions or faulty-file claims (legitimate interests).
Emails you send us. If you email info@quick-file.co, we use your email and message to reply (legitimate interests).
Technical data. Like any website, our hosting provider records basic technical information such as IP address, browser type and the pages requested, to deliver the site and keep it secure (legitimate interests). When you open the site, your browser also loads fonts from Google Fonts and conversion tools from jsDelivr and Cloudflare, which receive your IP address to send those files.
Who we share data with
We share personal data only with service providers that help run Quick File: Stripe (payments), Netlify (website hosting), Google Fonts, jsDelivr and Cloudflare (delivery of site files), and our email provider. We do not sell your data or use it for advertising.
Some of these providers are based in or transfer data to the United States. Where they do, the transfer is protected by UK-approved safeguards, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum.
How long we keep it
Payment records are kept for 6 years from the end of the financial year they relate to, as required for UK tax purposes. Emails are kept for up to 2 years after our last contact. Hosting logs are kept by Netlify for a short period under its own retention policy.
Cookies
Quick File does not use advertising or analytics cookies, so there is no cookie banner. Your browser stores a copy of the site so it loads quickly and can be installed as an app; this is strictly necessary and holds no personal data. Stripe’s checkout page sets its own cookies for fraud prevention, covered by Stripe’s privacy policy.
Your rights
Under UK data protection law you can ask for a copy of your personal data, ask us to correct or delete it, object to or restrict how we use it, and ask for it in a portable format. Email info@quick-file.co; we’ll respond within one month. We may need to keep some records where the law requires it.
If you’re unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to help first.
Changes
We’ll post any changes to this policy on this page with a new date.
